Document Management and Control System (DMCS)

The management and control of the document play an important role in an organization especially to the company that manufacturing and selling semiconductors such as the chips on the motherboard. There will be a lot of paper-based documents such as sales invoices, delivery order, process procedure, product quality review and others are produced everyday and consuming storage space in an organization. Therefore, a lot of paper files are needed and probably run out of cabinets to store all the documents. The cost of an organization also increased because paper, ink, file folders, filing cabinets, filing staff, and other requirements cost money in a paper-based system.
Besides that, it is difficult to track the latest version of the document without using an electronic system. The process in manufacturing of a semiconductor is complicated and the document used that related to the process must be the correct and latest version. If the wrong version of the document is used, it will causing the ruining of the product or the product is malfunction. The product eventually cannot be release and sell since it has defect. Furthermore, they may have to spend extra time correcting mistakes, seeking approvals for changes in the document and distributing the document. This causes a waste of time and resources and thus lower the productivity of staff.
Document Management and Control System (DMCS) plays an important role to solve the problem addressed. DMCS is a system that helps an organization to store, organize, capture, tag, approve and access the files and documents. The capability of the system is to keep a record of the various versions created and modified by different users. The key to the system is that any document critical to the delivery of products and/or services is controlled. This ensures that everyone in the organization is using the most recent and correct instructions, keeping the correct records, understanding the policies and procedures that allow operating.
